The Job description is as follows:
The Medical Staff Services Administrative Assistant tracks and assists with the verification process for all medical staff applications, credentials, references, licenses and other file documentation.
The Medical Staff Services Administrative Assistantâs responsibilities include:
- Tracks and verifies the accuracy and status of pending credentialing applications, upcoming assignments, and assures that documents are signed and complete for multiple operations teams
- Creates recruit files, collects and enters documents into files, inputs data into the internal systems, and requests additional or missing information as needed.
- Scans all provider credentialing documents obtained during the initial or reappoi! ntment credentialing process and notifies operations when documents have been received
- Assists with entering in credentialing approval decisions into the Internal system
- Manage the MSS and Sales team tasklists and document receipt of items in internal system
- Send follow-ups for operations team to track expiring documents that have been verified during the initial or reappointment credentialing process and follow-ups to initiate the subsequent reappointment process
- May be called upon to contact recruit references or obtain other primary source verifications of credentials; including hospital privileges, education/training programs and licensure disciplinary action reports
- Strong computer skills: Microsoft Word, Excel, web-based applications, internet, and database programs
- Excellent attention to detail
- Excellent communication skills (written and oral)
- Ability t! o work on multiple tasks simultaneously and meet multiple hard deadline! s
- Proven time management skills focusing on urgent and overlapping deadlines
- Prioritize and organize tasks and time effectively and independently
- Process a large amount of documentation in a timely and professional manner
- Ability to professionally handle difficult conversations in person and over the phone
- Strong organization skills and attention to detail and proven accuracy with record keeping
- Demonstrated researching and problem solving skills
- Ability to work independently with little supervision, directing work flow to appropriate departments
- Persuade, Influence, Negotiate, use tact and diplomacy and communicates information effectively to other team members.
- High level of customer service
- Work cohesively with all divisions and departments
