The Executive Assistant, Human Resources will provide administrative support to the Vice President, Enterprise Talent Management and Mobility, with additional support for two Directors. This includes, but is not limited to, calendar management, preparing and tracking expense reports, making travel arrangements, and preparing meeting materials. The ideal candidate is a detail-oriented and highly proactive individual who is capable of achieving results in a fast-paced environment and should possess the ability to maintain confidentiality and manage high-level relationships with sensitivity.
Responsibilities:
- Assist executives in providing a wide range of administrative support functions focused upon the needs of assigned executives
- Conduct a wide range of assignments derived from the duties and responsibilities of the executives supported
- Coordinate and maintain Outlook calendars
- Organize and prepare for meetings, presentations and events
- Administer travel arrangements and related travel and entertainment expense reports
- Answer and screen incoming calls
- Review and categorize incoming correspondence
- Prepare routine correspondence
- Coordinate team events
- Coordinate the administration, logistics and flow of the work for the team’s executives
- Maintain the highest standards of confidentiality and tact
- Interact with a wide variety of internal and external partners and stakeholders on behalf of executive leadership
- Serve as a point of contact for all HR department when ordering supplies, managing conference rooms and calendars
Qualifications:
- Minimum three years of related executive administrative support in generally comparable functions
Preferred Qualifications:
- Demonstrates the following: time management, conflict management, business acumen, planning and execution
- Strong organizational skills and the ability to pay close attention to detail while handling multiple, simultaneous requests
- Proficient in Microsoft Office applications, with ability to quickly learn any HR specific databases used by the executives supported
- Has advanced oral and written communication skills; demonstrates a high sensitivity to the purposes and motivations of the persons desiring contact with the assigned executive; ability to work effectively with a diverse group
Preferred Education:
- Associate’s or Bachelor’s Degree preferred
The hiring range for this position in California is $60,352.00 to $80,960.00 per year based on a 40-hour work week. The number of hours scheduled per week may vary based on business needs. The base pay actually offered will take into account internal equity and also may vary depending on the candidate’s geographic region, job-related knowledge, skills, and experience among other factors. A bonus and/or long-term incentive units may be provided as part of the compensation package, in addition to the full range of medical, financial, and/or other benefits, dependent on the level and position offered.
